COMMUNITY GUIDELINES
Khelchhu is built on trust, respect, and fair play. These guidelines help us maintain a community where everyone can play with confidence, know they'll be treated fairly, and can enjoy pickup sports without fear of harassment, discrimination, or unsafe conditions.
These guidelines apply to all users: players, organizers, and venue owners, and cover behavior both in-app and on the field, as well as off-field conduct related to Khelchhu (messages, comments, social media if linked to your Khelchhu identity).
Violating these guidelines can result in strikes, temporary bans, or permanent removal.
1. RESPECT EVERYONE
1.1 Treat All With Dignity
All users deserve respect, regardless of:
- Skill level (you might be learning; so are others)
- Gender, sexual orientation, or gender identity
- Age or generation
- Ethnicity, nationality, or caste
- Religion or belief system
- Physical abilities or disabilities
- Socioeconomic background
- Professional status
Treating others with respect means:
- Using their preferred name or pronouns
- Welcoming new or less-skilled players
- Not making assumptions about someone's abilities based on appearance
- Offering encouragement and constructive feedback
- Admitting mistakes gracefully
1.2 Zero Tolerance for Hate Speech & Discrimination
Hate speech, slurs, and discriminatory language are never acceptable in the app, on the field, in messages, or in any Khelchhu-related communication.
Prohibited behaviors include:
- Ethnic, religious, or caste-based slurs or insults
- Sexist, homophobic, or transphobic language
- Ableist comments about physical or mental abilities
- Racial insults or stereotyping
- Religious mockery or proselytizing
- Age-based discrimination ("too old," "too young")
- Casteist remarks or language
- Using someone's gender, identity, or background as an insult
Consequences:
- First offense: Strike + written warning
- Second offense within 30 days: 7-day temporary ban
- Third offense within 90 days: 30-day temporary ban
- Repeated pattern: Permanent ban
1.3 Respectful Disagreement
How to handle disagreements:
- Speak calmly and directly to the organizer or referee
- Focus on the action, not the person ("The tackle was late," not "You're a dirty player")
- If unresolved, report through the app rather than continuing to escalate
- Move on and enjoy the game
2. SHOW UP WHEN YOU COMMIT
2.1 The Problem with No-Shows
When you join a game, you're making a commitment to:
- The organizer: who's planning the game and counting on you
- Your teammates: who need full squads to play fairly
- The venue: which has reserved time/slots for your group
- Other players: who might not get to play if slots aren't filled
No-shows create a ripple effect: disappointed players, wasted organizer time, venues losing revenue, and a broken community.
2.2 Show Up On Time
- "On time" means 5–10 minutes early, not 5 minutes late.
- Arrive early enough to change, warm up, and be ready to play at the scheduled start time.
- Arriving after the game has started means you may not play (organizer's discretion).
- Repeated late arrivals (3+ in 30 days) result in a strike.
2.3 Cancellation Policy
If you must cancel:
- Cancel at least 2 hours before game start time
- Your slot can then be filled by someone from the waitlist or a new player
- Late cancellation (within 2 hours) = strike + forfeit deposit + score penalty
Exceptions that don't result in strikes:
- Medical emergency (injury, sudden illness): document with hospital/clinic records if requested
- Death or serious family emergency: provide supporting documentation
- Work emergency or urgent unavoidable circumstance: organizer may waive if convincing
Repeated no-shows (with no acceptable exceptions) will result in score penalties, strikes on subsequent no-shows, and a 7-day temporary ban after 3 strikes in 30 days.
2.4 The Strike System Explained
How strikes work:
- 1 Strike:Warning. Your reliability score decreases; organizers see you're at risk.
- 2 Strikes in 30 days:You're flagged as unreliable. Some organizers may not accept you.
- 3 Strikes in 30 days: Automatic 7-day temporary ban. You cannot join or create games.
- After the ban:Strikes expire gradually. If you attend games and don't no-show for 30 days, strikes start clearing.
3+ bans in 90 days may result in permanent account suspension.
2.5 What "No-Show" Means
A no-show is recorded if:
- You joined the game and did not show up before the start time
- The organizer marks you absent after game start time
- You never contacted the organizer to cancel
3. PLAY FAIR
3.1 Rules of Play
Pickup games should be fun, competitive, and safe. That means:
- Play within the official rules of the sport (futsal, cricket, etc.)
- Respect the referee/organizer's decisions
- No intentional dangerous play (reckless tackles, aggressive fouls)
- Include players of all skill levels; not every game is competitive
- Sportsmanship: win with grace, lose with dignity
3.2 What Fair Play Means
Acceptable:
- Intense, competitive play within the rules
- Celebrating your team's success
- Asking the referee to explain a call
- Giving tips to teammates
- Encouraging less-skilled players
Unacceptable:
- Deliberate dangerous tackles or violent play
- Arguing constantly with the referee or organizer
- Intentionally fouling to injure or intimidate
- Taunting opposing players
- Throwing equipment or showing aggression
- "Diving" or faking injuries to manipulate calls
3.3 Competitive vs. Casual Games
Not every game is equally competitive. Always read the event description:
- "Competitive futsal" = intense, experienced players
- "Casual futsal" = mixed skill levels, focus on fun
- "Beginner-friendly" = first-time or skill-building focus
Joining a casual game and dominating it? That's poor sportsmanship. Help teammates, include less-skilled players, and focus on fun, not crushing beginners.
3.4 Consequences for Unsporting Conduct
- Deliberate unsafe play: Strike + reported to organizer
- Repeated arguing with officials: Strike + possible removal from game
- Aggressive physical play or intimidation: Strike + potential permanent ban if severity warrants
- Taunting or verbal abuse during games: Strike + potential temporary ban
4. ORGANIZING RESPONSIBLY
Organizers are the backbone of Khelchhu. You're responsible for creating fair, safe, fun experiences.
4.1 Accuracy & Transparency
Post truthful event details:
- Correct sport (futsal, cricket, other)
- Actual venue address and venue name
- Correct date and start time
- Realistic slot count (don't overbook)
- Accurate skill level (beginner/casual/intermediate/competitive)
- Any special rules (e.g., "no headers in futsal," "over-30 only")
- Deposit amount and refund policy if applicable
Penalties for false/misleading information:
- First offense: Warning + event cancellation (if necessary)
- Second offense: Strike
- Third offense: Organizer status revoked
4.2 Fair Player Management
When players request to join:
- Respond within 2 hours (approved or denied)
- Don't leave players in limbo for days
Only acceptable reasons to deny a player:
- Organizer already has enough slots filled
- Player's reliability score is below your stated minimum
- Player has an active strike against them
- Player has a history of no-shows at your events
- You've specifically noted a skill-level requirement they don't meet
Unacceptable reasons to deny (these are discriminatory):
- Gender, sexual orientation, or gender identity
- Age or perceived age
- Ethnicity, nationality, or caste
- Religion or belief system
- Physical appearance or body type
- Disability (unless directly affecting ability to play the sport)
- Relationship status or personal life choices
- Personal grudge or past disagreement
If you systematically deny players based on protected characteristics, you'll lose organizer privileges. Other players can report bias; we monitor for patterns.
4.3 Creating an Inclusive Environment
Organizers should:
- Welcome new and less-skilled players
- Encourage skill-mixed teams ("Don't stack one team with all experienced players")
- Ensure everyone feels safe and included
- Address any harassment or discrimination immediately during games
Organizers should NOT:
- Allow (or participate in) abusive behavior
- Let one group dominate or bully others
- Make new players feel unwelcome
- Allow discrimination or hate speech
4.4 Event Changes & Cancellations
If you need to reschedule or cancel:
- Notify players as far in advance as possible (ideally 48 hours minimum)
- Use in-app notification + email to all confirmed players
- Issue full refunds if you cancel (within 5 business days)
- Offer to reschedule if feasible
- Explain the reason briefly (weather, venue issue, emergency, etc.)
Repeated cancellations (3+ in 60 days) may result in:
- Temporary suspension of organizer privileges
- Loss of ability to require deposits
- Mandatory cooling-off period before organizing again
If a game is unsafe to play (flooded venue, extreme heat, etc.), cancel promptly rather than risk injuries, issue full refund, and reschedule when conditions improve.
4.5 Post-Game Ratings & Feedback
After each game, organizers should:
- Rate players on reliability and sportsmanship (1–5 stars)
- Leave constructive feedback (positive or developmental)
- Flag serious misbehavior immediately through the app
What NOT to include in ratings:
- Personal attacks or insults
- Comments about appearance or identity
- Unsubstantiated accusations
- Defamatory or false statements
Inappropriate ratings can be removed and the organizer warned.
5. VENUE CONDUCT
Venues are spaces we share. Respect them like you'd want your own space respected.
5.1 Respect Venue Property
- Clean up after your game (sweep, collect trash, return equipment)
- Don't damage walls, courts, nets, or equipment
- Report damage to venue staff immediately
- Replace or pay for anything you break (you may be held financially liable)
- Don't draw on walls, write on courts, or vandalize
- Don't leave personal items behind expecting the venue to store them
5.2 Follow Venue Rules
Every venue has house rules. Follow them:
- Footwear (some venues require specific shoes; follow their policy)
- Food and beverages (ask before eating; no outside alcohol usually)
- Noise levels (especially if residential areas nearby)
- Facility hours and restricted areas
- Parking and entry procedures
Violating venue rules can result in:
- Ejection from the venue
- Permanent ban from that venue
- Organizer struck for allowing violations
5.3 Timely Arrival & Departure
- Arrive on time or slightly early. Your slot has a fixed window.
- Late arrival disrupts the next group's start time.
- Clean up by end of slot time; don't keep venue past your booking.
- Repeated lateness (3+ times) = strike.
5.4 Safety at Venues
- Inspect the venue when you arrive (slippery spots, broken equipment, etc.)
- Report hazards to organizer and venue staff immediately
- Don't use broken or unsafe equipment
- Use equipment only as intended (no swinging bats outside the pitch, etc.)
- If you feel unsafe, leave and report to organizer + Khelchhu
5.5 Consequences for Venue Violations
- Disrespect/minor damage: Warning from venue staff or organizer
- Property damage: You may be billed for repairs; strike issued
- Repeated rule violations: Permanent ban from that venue
- Dangerous behavior: Immediate removal + strike + potential temporary platform ban
6. ZERO TOLERANCE BEHAVIORS
The following behaviors result in immediate, permanent ban without warning (or with ban effective immediately upon review):
6.1 Violence & Threats
- Physical violence: Hitting, pushing, or physically attacking another person
- Threats of violence: "I'll beat you up," "I know where you live," or any threat to harm
- Weapons: Bringing or using weapons (knives, guns, etc.)
Consequences: Permanent ban + potential police report
6.2 Sexual Harassment & Assault
- Unwanted sexual comments, advances, or gestures
- Touching someone sexually without consent
- Sexual assault or rape
- Sharing intimate images without consent
- Stalking or repeated unwanted contact
Consequences: Permanent ban + potential police report + cooperation with law enforcement
6.3 Theft
- Stealing personal belongings (phone, wallet, keys, equipment)
- Stealing from the venue
- Fraud related to deposits
Consequences: Permanent ban + cooperation with police + civil liability
6.4 Illegal Substance Use
- Being under the influence of illegal drugs during games
- Selling or distributing illegal drugs at venues or through the app
- Encouraging others to use illegal substances
Consequences: Permanent ban + potential police report
6.5 Gambling & Match-Fixing
- Betting money on game outcomes
- Arranging to intentionally lose or fix results for money
- Manipulating scores or team lineups for gambling purposes
Consequences: Permanent ban + account investigation
6.6 Account Evasion
- Creating fake accounts to circumvent bans
- Using another person's account while banned
- Attempting to appeal or reverse a permanent ban through deception
Consequences: All related accounts permanently banned
6.7 Doxxing & Privacy Violations
- Sharing another user's personal information without consent (real name if using pseudonym, address, workplace, phone number)
- Publishing private messages or images
- Attempting to identify someone's real identity and revealing it to others
- Using personal information to harass or harm
Consequences: Permanent ban + potential civil liability
6.8 False Accusations
- Filing false reports to get another user banned
- Fabricating evidence of violations
- Repeatedly making unsubstantiated accusations to harm reputation
Consequences: Strike for first false report; temporary ban for second; permanent ban for third.
7. REPORTING VIOLATIONS
7.1 How to Report
In-App Reporting (Fastest):
- From the user's profile, tap the "Report" button
- Select the violation type (harassment, no-show, unsafe play, discrimination, other)
- Provide details: what happened, when, where, who was involved
- Attach screenshots or evidence if available
- Submit
Email Reporting:
- General violations: khelconnect988@gmail.com

- Doxxing/privacy issues: khelconnect988@gmail.com
Emergency (Police-Level Crimes): Contact Nepal Police immediately at 100, then report to Khelchhu at khelconnect988@gmail.com.
7.2 Investigation Process
After you report:
- Day 1:We acknowledge receipt and confirm we've opened an investigation
- Days 2–5:We interview the reported user, gather evidence (game records, app messages, organizer notes), interview witnesses if available, review the user's history for patterns, and use automated systems to check for account evasion
- Days 5–7: We make a decision (violation confirmed, unconfirmed, or inconclusive), notify both parties in writing, explain the decision and evidence considered, and issue consequences
Total timeline: Investigations typically complete within 5–7 business days (up to 10 days for complex cases).
7.3 What We Need to Investigate
Strong reports include:
- Specific date and time of incident
- Where it happened (in-game, in-app messages, off-field)
- Names or profiles of everyone involved
- Detailed description of what happened
- Screenshots, photos, or other evidence
- Names of witnesses
The more detail and evidence you provide, the faster we can investigate.
7.4 Confidentiality & Reporter Protection
- We do not reveal your identity to the reported user (unless legally required)
- Investigation details are confidential
- We do not tolerate retaliation against reporters
- If someone retaliates against you for reporting, report the retaliation immediately as a separate violation. Retaliation results in automatic strike + escalated consequences.
7.5 False Reporting
- First false report: Warning
- Second false report in 6 months: Strike
- Third false report in 12 months: 7-day temporary ban
- Habitual false reporting: Permanent ban
8. CONSEQUENCES & ENFORCEMENT
Different violations result in different consequences. Here's the framework:
8.1 Severity Levels
LEVEL 1: Minor (First-time, non-harmful)
- Example: First late cancellation, minor rule dispute, awkward in-game comment
- Consequences: Warning or strike (organizer decides)
- Appeal: Yes
LEVEL 2: Moderate (Repeated or clearly harmful)
- Example: Third late cancellation in 30 days, disrespectful language, deliberate unsporting play
- Consequences: Strike
- Appeal: Yes
LEVEL 3: Serious (Threatening community safety or fairness)
- Example: Harassment, discrimination pattern, consistent no-shows, unsafe play
- Consequences: 7 to 30 day temporary ban
- Appeal: Yes
LEVEL 4: Severe (Immediate removal from community)
- Example: Violence, sexual assault, theft, match-fixing
- Consequences: Permanent ban
- Appeal: Yes, but very limited grounds
8.2 Consequence Types
Warning: Written notice of violation. No strike or ban. Counts as a formal warning on your record. Accumulating warnings can escalate to strikes.
Strike: Adds to your strike count. Affects your reliability score. 3 strikes in 30 days = 7-day ban. Visible on your profile (if you reach 3 strikes).
Temporary Ban (7 to 30 days): You cannot join or create games. Your account is frozen. Can appeal after 3 days of ban (minimum).
Permanent Ban: Immediate and irreversible. All account data may be deleted. Cannot create new accounts. New accounts detected will be banned.
8.3 Ban Tracking
- Bans are cumulative: Two 7-day bans = 14 days total (not reset between bans)
- Multiple bans in short time: 3+ bans in 90 days = automatic escalation to investigation for permanent ban
- Cross-account bans: If you create a new account while banned, all related accounts are banned
9. APPEALS PROCESS
If you think a strike or ban was unfair, you can appeal.
9.1 Valid Appeal Grounds
You can appeal if:
- New evidence:You have evidence the violation didn't occur or was misunderstood
- Procedural error:Khelchhu made a mistake in investigation (didn't contact you, ignored evidence)
- Factual error: Wrong person was punished, or dates/facts were incorrect
- Disproportionate punishment: Consequence far exceeds violation severity
- Hardship:Extreme personal circumstances (medical, family emergency) you couldn't present before
9.2 How to Appeal
Email appeals to khelconnect988@gmail.com. Include:
- Your full name and account email
- Description of the strike/ban you're appealing
- Date of the decision
- Why you believe it was unfair
- New evidence if available
- Any supporting documents
9.3 Appeal Review Process
Within 48 hours of submission: A senior reviewer (not the original investigator) reviews your appeal, contacts you if they need clarification, and investigates your new evidence.
Within 7 days: You receive a written decision. If the appeal is granted, the strike/ban is removed or reduced. If denied, the decision is upheld with a brief explanation. If inconclusive, Khelchhu may investigate further (extends to 14 days).
9.4 Appeal Outcomes
- Granted: Violation reversed; your account is restored to previous state
- Partially Granted: Penalty reduced (e.g., strike removed but 1-day ban remains)
- Denied:Original decision upheld; you're notified why
- Dismissed:Appeal was frivolous or didn't meet criteria
9.5 Second Appeal (Only in Limited Cases)
If your first appeal is denied, you may submit a second appeal only if you have substantial new evidence, can demonstrate procedural misconduct, or new information emerged after the first appeal. Second appeal response time: 14 days.
9.6 Permanent Ban Appeals
Permanent bans can only be appealed on these grounds: mistaken identity, false or fabricated evidence, or fundamental investigation error.
10. SPECIAL CASES
10.1 Organizer-to-Player Disputes
If you disagree with an organizer's decision (denied without cause, unfair rating, etc.):
- First, message the organizer directly through the app
- If unresolved, report to khelconnect988@gmail.com with game details, description of the dispute, screenshots, and why you believe the organizer was unfair
10.2 Player-to-Player Disputes
If two players have a conflict:
- Try to resolve it directly (chat in the app)
- If that fails, either player can report to khelconnect988@gmail.com
- Khelchhu may attempt mediation or, if a guideline was violated, investigate
10.3 Disputes with Venue Owners
If you have a problem with a venue (unsafe condition, overcharge, etc.):
- Report to the organizer first (they may contact the venue)
- If unresolved, report to khelconnect988@gmail.com with venue name and issue
- We may investigate and delist venues that violate safety standards
11. VENUE OWNER RESPONSIBILITIES & ENFORCEMENT
Venue owners are part of the community. They must follow these guidelines too.
11.1 Venue Owner Violations
What venue owners must do:
- Provide accurate information (address, capacity, amenities, photos)
- Maintain clean, safe, playable conditions
- Honor all confirmed bookings
- Provide basic first-aid kit
- Respond to issues within 24 hours
- Not discriminate against organizers based on protected characteristics
What venue owners must NOT do:
- Overcharge or change prices after booking
- Cancel repeatedly without cause
- Allow unsafe conditions (broken equipment, slippery surfaces)
- Discriminate against certain players or organizers
- Use offensive language or harassment
11.2 Venue Owner Consequences
- Safety violations (broken equipment, unsafe condition): Warning, then listing delisted if unresolved
- Chronic cancellations: Delisted from app
- Discrimination: Delisted + permanent removal as venue partner
- False information/overcharging: Delisted + possible refund required
- Harassment of users: Delisted + potential permanent ban
12. UPDATES TO GUIDELINES
12.1 How We Change Guidelines
As the community grows, we update these guidelines to reflect new challenges and insights. Changes happen:
- Minor clarifications (typos, examples): Effective immediately
- New prohibited behaviors or stricter enforcement: 14-day notice via in-app notification + email
- Reduced penalties or new appeals pathways: Effective immediately
- Changes affecting enforcement: 7 to 14 day notice
12.2 Your Rights When Guidelines Change
- You'll be notified of all material changes in advance
- You have 7 days to ask questions or provide feedback
- Continued use after the effective date means you accept the changes
- If you don't agree, you can delete your account before the change takes effect
